Per Aarsleff A/S takes scanning to the next level with MultiArchive Document Capture
Implementing the new MultiArchive Document Capture technology for the existing scanning solution simplifies the daily work of the bookkeepers, but also adds to the performance, reliability, and scalability of the entire solution.

Per Aarsleff A/S is an international construction company with 3,200 employees and operations in Denmark and worldwide.
As a long-time user of MultiArchive, Aarsleff has optimized many business processes in Human Resources, Finance, Accounts Payable, and at the actual construction sites.
One of the processes originally optimized is that of processing supplier invoices. With 125.000 invoices each year, 46 individual companies and 9 Joint Ventures, hundreds of building sites, and more than 600 approvers – this is absolutely no trivial task – even with MultiArchive in place.
As the infrastructure at Aarsleff had evolved over years, and the solution was only getting bigger and bigger, they realized that a second wave of optimization was in place.
MultiArchive Document Capture technology
Based on the relatively new MultiArchive Document Capture technology, consultants from MSG Professional Services suggested a restructuring that not only simplifies the daily work of the bookkeepers, but also adds to the performance, reliability, and scalability of the entire solution.
In the new setup, an overwhelming 50 scan profiles have been reduced to 3, and the moment an invoice is scanned, the Document Capture handles archiving automatically with data derived from the attached barcode labels. This means that the bookkeeper now can leave the scanner immediately, making it available to the next person in line.
Major improvement
“This development is a major improvement in our subsidiaries where they have only a single scanner. They are now less dependent on this single scanner, and in an emergency, they can simply send their documents to the main office - or any other subsidiary with a scanner. With specialized local setups, this was not an option before.
Furthermore, it has become much easier to process documents that are in error for one reason or another. Now we can handle most errors for all companies from our main office”, states Susanne Grumløse, project manager at Per Aarsleff.
Normally you would say “if it works don’t fix it”, but not in this case. For Aarsleff, restructuring the existing solution has a convincing ROI.
”With the Document Capture setup’s increased flexibility, reliability, and scalability, we expect many of our current users to upgrade to this new approach”, says Kim Olsen who headed the project at Aarsleff.
